Yes, Park FREE in any City ramp on weekdays after 5 PM and until 1 AM and weekends from 9 AM to 1 AM. We are connected Via skywalk

Yes, all our facilities are wheelchair accessible. We also have ramps at the main and side entrances, hearing-impaired fire alarm lights, and trained staff.

I see that the photographer is included in our chair count. Do weddings put the photographer with a table?

Accepted Answer

Usually, the photographer does sit at a table where they can see the head table. This table is typically on the outside of your layout so they can get up and move around easily, and on the side of the room where the bar and DJ are located.

Are we allowed to hang decorations?

Yes. You are allowed to hang up decorations where there are hooks installed already. This helps eliminate our couples from putting nails or holes in the walls.

Can I bring real candles into the art center for the wedding?

No flame candles are allowed in the art center.

What décor items do you have available and what can we bring in for center pieces?

We have attached centerpieces that you can use for florals or flameless candles.

Does the art center have easels we can borrow?

We do have easels here that you can rent for $12 each. They are a nice solid black color.

How are the bar charges estimated?

Accepted Answer

If you say you want to host a certain dollar amount of drinks and then on the night of, you want to add more hosted items, you will be required to pay the difference.

How many entrée options and salad options can we offer to our guests?

We ask that you choose one salad option (we can make a special salad for anyone with dietary restrictions). You can have 3 different entrées.

Is it allowed to bring in outside desserts from a local bakery? Is there a fee?

Accepted Answer

There is no fee for bringing in an outside dessert. We ask for the name of the business and what time they would be arriving to set up the desert table so we can meet them. If you get a dessert from another vendor, we don’t service the dessert, so we ask that you do a self-serve station for the guests to grab from.

We wanted to have a projected surprise video but didn’t see any screen in the art center.

We have a portable screen and projector that will be added to your BEO and that will come with an additional charge.

Can we put tables outside the art center if the weather is nice?

Yes, we sure can.

Can we come the night before to set up the decorations and do a quick run through the ceremony?

Accepted Answer

If we don’t have any events that night before in that room, you are able to come by and set it up and we can block that off for you.

Do you have any maps of where the place for the guest to park?

I will send you a few graphics vis email that I have regarding parking around our facility. The easiest is to park in the attached ramp and walking to the Civic Center via Skyway.

We were hoping a few guests could arrive after the ceremony but before cocktail hour to move some floral arrangements/turn on candles. This possible?

Yes, you can have a guest come to move floral arrangements. Our team is more than happy to help get the candles turned on for you. v

What would be the best way to direct people to the venue/ showing up at the right place? Can we put balloons/ signs out?

Accepted Answer

We do have security and ushers that can assist your guest entering via the Skyway. If you would like to put signs on the plaza outside of the civic center to direct them to the Rochester Art Center, you can do so.

What does the ceremony package offer?

A corded microphone, set up of chairs, rehearsal the night before and taking down of the chairs.

If we opt to have desserts outside of the cake pops that will be placed at each table, do we use an outside vendor for that?

For desserts, you can have any licensed vendor that you may wish.

No, we will supply the table and linens.

Yes, we have a preferred vendors list, but you are not subject to reach out to any of them. We do require contact information so we can get a hold of them for any questions that we might have.

What kind of send-offs are permitted at the art center? I’m guessing no sparklers. Could we do a dried flower petal/ something different?

If you wanted to do something outside, this might something permittable. We just don’t allow anything with flames or heat within the building.

Why do I need insurance? What type of insurance am I supposed to get?

Accepted Answer

This insurance covers any accidents that could happen during an event (ex. Someone were to fall and need an ambulance, you decide to have a sparkler sendoff which resulted in a fire, someone damages property, etc.). You can get insurance through us, or your own insurance carries and for the 1.9 million in required coverage.

How much does the insurance cost?

The fee is typically $250 if submit the policy through our in-house insurance. If you decide to add a rider to your homeowner’s policy, no fee is required.
